To provide AV and 1st line IT technical support for client meeting rooms, and also to provide assistance and support to the Events and Learning and Development teams. The object of this role is to ensure that the meeting rooms are properly set up, that the equipment is working and that the users are conversant with the equipment they are using to ensure we provide an exceptional service to our clients.

Whilst there are regular duties to be undertaken, the demands upon the function can be unpredictable, often with tight deadlines and the individual must have proven skills in dealing with such matters. Although this role is from 9am to 5pm , flexibility in working hours is essential especially when helping out with client events which are usually in the evening.

KEY RESPONSIBILITIES & DUTIES

• Set up videoconferences/teleconferences and liaise with the other parties. In the case of multi-point conferences, liaise with the third party bridging company. The job holder will stay in the room until all parties are connected to the conference and the local user is properly set up and conversant with the equipment controls.
• Film and edit video recordings and setting up webinars
• Provide ad hoc technological support for clients when required, i.e. internet, laptop, connection issues, TV, e-mails, photocopying, scanning.
• Monitor the status of the meeting rooms, audio-visual and telephony equipment to ensure it is always in good working order. Ensure any necessary maintenance is carried out.
• Ensure the relevant user manuals and the Intranet are up to date
• Actively promote the meeting room and multimedia software technologies that are available to the London office eg:- Video Conferencing, WebEx, Arkadin, etc
• Regularly provide relevant technical training to the Hospitality team.
• Set up Power Point presentation equipment and ensure that it works in time for the relevant meeting.
• Test all equipment weekly and report any defects to the appropriate department/supplier.
• Conduct new starter inductions on meeting room equipment and what we can offer clients.
• Liaise with external AV suppliers and be up to date with the latest technologies available in the market
• Ensure the Hospitality Manager and the reception team is informed of any developments, faulty equipment, etc.
• Book/manage AV bookings in the meeting room system Condeco.
• Assist and support Events and Learning & Development teams with client and training seminars with equipment as well as multimedia software technologies.

SKILLS AND EXPERIENCE

Technical and professional qualifications:
• General interest and knowledge of technology
• IT qualification of some sort is desirable eg:- MCP
• Interest or/and experience in multimedia technology.
• Advanced knowledge of IT equipment and audio-visual equipment
• Excellent organisational skills and ability to work under pressure
• Ability to demonstrate a deep understanding of professional client services and care.

• Willingness to share best practice knowledge and experience is a key success factor.
• Energetic team player.
